Stop winging it: 5 ways to create intentional communication

Most businesses don’t set out to communicate badly - it just happens in the rush of day-to-day work.
A last-minute social post.
A rushed email to employees.
A quick update squeezed in between meetings.
It’s not intentional… but that’s the problem.
When communication is reactive, rushed or built because "we need to get something out", it rarely resonates with the people who need it most.
Whether you’re running a small business or leading a team, winging your communication often leads to confusion, mixed messages and unnecessary rework.
You don’t need a complex strategy or hundreds of posts planned out. What really makes the difference is adding a little more intention to what you share.
Here are five simple ways to bring more purpose, clarity and connection to every message:
1. Start with the real Reason you’re communicating

Before you write anything, ask yourself:
Why am I communicating?
What problem am I trying to solve?
Do I even need to communicate at all?
Businesses often jump straight into creating messages because “we need a post today” or “we should send an update”. But communication without purpose becomes noise.
When you define the Reason first (Step 1 of Resonate with People™), everything that follows becomes clearer - your message, your tone, your timing and your results.
2. Think about what your audience actually needs

Most communication fails because it’s written from the sender’s perspective, not the receiver’s.
We assume people already know:
our services
our background
the context
the next steps
the meaning behind our announcements
But your audience might be brand new or completely unfamiliar with your world.
Before you communicate, ask: “What does my audience need from me to understand this properly?”
Empathy stops you from winging your message and helps you design something people can follow, relate to and act on.
3. Simplify: don’t try to say everything at once

One of the fastest routes to overwhelmed audiences is a message that tries to do everything.
If people are busy (and they always are), they’ll skim, scroll or move on.
To bring more intention to your communication, focus on what you want people to Know, Feel and Do.
For example:
You might want people to Know about a new product or a change in your business.
You might want them to Feel excited, reassured, supported or confident.
And you’ll always want a clear action - something they should Do next - whether that’s signing up, sharing feedback or following instructions.
Clear objectives are key to moving from chaotic to clear communication.
4. Choose the right channel - not the most convenient

Winging it often sounds like:
“I’ll just send an email.”
“Let’s just post it on social.”
“We should just make a video.”
But not every channel works for every audience or outcome.
Want engagement? Use the platform where your audience is already hanging out.
Want understanding? You might need a conversation, not a simple graphic.
Want behaviour change? You will need consistent reinforcement through their most trusted channel.

5. Check it’s landing - don’t just hope for the best
